1. Who we are
Rateflow is Australian-made review and invoicing software for local businesses. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
2. Information we collect
Account details (your name, email, business details), the customer contact details you enter to send review requests and invoices, message and click activity, and basic technical data such as a coarse, hashed visitor identifier. We do not store raw IP addresses.
3. How we use your information
To provide the service: sending review-request SMS and invoices on your behalf, generating AI-written messages and replies, measuring link clicks, processing payments, and keeping your account secure. We do not sell your personal information.
4. Your customers' data
You are responsible for having a valid basis to contact your customers and for complying with the Spam Act 2003 (Cth). We process customer details only to deliver the messages you request, and we honour opt-outs.
5. Storage & security
Data is stored in Australia (Supabase, Sydney region). Access is restricted and tenant-isolated. Sensitive tokens are held server-side only and never exposed to your browser.
6. Third parties
We share data only with the providers needed to run the service: our SMS provider (to deliver texts), Stripe (to process payments), Google (for review replies you authorise), and our email provider (for transactional email). Each handles data under their own terms.
7. Retention
We keep your data for as long as your account is active and as required to meet legal and accounting obligations. You can ask us to delete your account at any time.
8. Your rights
You may request access to, or correction of, the personal information we hold about you. To make a request, or to raise a privacy concern, contact us using the details below.
9. Changes
We may update this policy from time to time. Continued use after changes take effect constitutes acceptance.
